Whole Mind Strategy ("we," "us," or "our") operates the website wholemindstrategy.com and the Faciliton workshop design application. This privacy policy explains how we collect, use, and protect your information when you use our services.
Information We Collect
Account Information
When you sign in to Faciliton using Google or Apple, we receive your name and email address from the authentication provider. We do not receive or store your password. Your account is managed through Supabase, our database provider.
Workshop Data
When you use Faciliton to design workshops, we store the information you provide — including workshop names, objectives, agendas, schedules, pre-work questions, venue checklists, and related materials — in your account so you can access it later. This data is associated with your user account and is not shared with other users.
Post-Workshop Reflections
If you complete a post-workshop reflection, we store your self-ratings, notes on what worked, what you learned, what you would change, and any agenda deviations. This data is used to build your facilitator profile (described below).
Facilitator Profile
As you design workshops and complete reflections, Faciliton uses AI to generate an evolving facilitator coaching profile. This profile includes an assessment of your facilitation strengths, growth edges, emerging style, and patterns across your workshops. The profile is generated from your workshop data and reflections, is stored in your account, and is used to personalize the AI guidance you receive. It is not shared with other users.
AI Conversations
When you use the Strategy Advisor chatbot, Faciliton's design assistants, or the Real-Time Advice feature, your messages are sent to the Anthropic API (Claude) to generate responses. Within the workshop design flow, your chat messages are stored in your account so you can continue conversations across sessions. We do not use your conversations to train AI models.
Payment Information
If you purchase paid content — such as exercise expert guides, a Workshop Day Pass, or an expert agenda review — payment is processed by Stripe. We receive confirmation of your purchase and your email address from Stripe but never see or store your credit card number or full payment details. We also log when you click on a purchase link (even if you do not complete the purchase) to understand which features are of interest.
Scheduling
Our contact page includes a Calendly scheduling widget. When you book a call, your information is collected and managed by Calendly under their own privacy policy.
Usage Data and Analytics
We track usage information including API request counts, IP addresses, and in-app actions (such as creating a workshop, generating an agenda, viewing an exercise, or completing a reflection). This data is used for rate limiting, preventing abuse, and understanding how the app is used so we can improve it. We do not use third-party tracking or advertising cookies.
Automated Emails
If you have opted in to email communications, Faciliton may send automated emails triggered by your activity — such as reminders after you set workshop dates, follow-ups after agenda design activity, or post-workshop reflection prompts. These emails are sent through Resend and relate directly to workshops you are actively designing. You can unsubscribe at any time via the link in each email or through your profile settings.
How We Use Your Information
We use your information to provide and improve our services, specifically to: maintain your Faciliton account and saved workshops; generate AI-powered responses, agendas, and coaching profiles; personalize guidance based on your facilitator profile and workshop history; process payments for paid content; send activity-based emails and requested communications; analyze usage patterns to improve the app; and prevent abuse of our services.
How We Share Your Information
We do not sell your personal information. We share data only with the service providers necessary to operate the site: Supabase (database and authentication), Anthropic (AI responses), Stripe (payment processing), Resend (transactional email), and Vercel (hosting). Each provider processes data under their own privacy policies and terms.
Data Retention
Your account, workshop data, chat messages, facilitator profile, and post-workshop reflections are retained as long as you maintain an account. Analytics events and rate limiting records are retained temporarily and cleared periodically. If you wish to delete your account and all associated data, contact us at info@wholemindstrategy.com.
Cookies
We use only essential cookies required for authentication and site functionality. We do not use advertising or third-party tracking cookies. The Calendly widget embedded on our contact page may set its own cookies.
Your Rights
You may request access to, correction of, or deletion of your personal data at any time by emailing us at info@wholemindstrategy.com. We will respond to your request within 30 days.
Children's Privacy
Our services are not directed at individuals under the age of 13. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this privacy policy from time to time. Changes will be posted on this page with an updated revision date.
